Team meeting minutes: template and example to copy

In short

Team meeting minutes say where each person is, what's blocking them, what the team decided, and who does what by when. They're shorter than formal minutes and don't need signatures. Copy the template below into Word or Google Docs and fill it in when the meeting ends. If the meeting is a video call, Loro takes the notes without a bot and, when you hang up, gives you the topics and each person's next steps.

What goes in team meeting minutes

A team meeting happens every week, so its minutes are organized by person and start with what was left open last time.

  1. Date, time and who was there. If someone missed it, who fills them in.
  2. Action items from last time: each one, done or not.
  3. Updates from each person, in a line or two.
  4. Blockers: what's holding someone up and who's helping.
  5. Decisions the team made.
  6. New action items, each with an owner and a date.
  7. Next meeting.

Tips for minutes that get used

How to get them written with Loro

  1. Download Loro for free for Windows or Mac.
  2. In your video call (Meet, Zoom, Teams, Slack or WhatsApp), click Take notes when Loro asks. It doesn't add a bot.
  3. When you hang up, Loro writes the note: the topics and the next steps with each person's name. You add yours to your To-do with one click.
  4. To get them in minutes format, type in the note's question bar "write the team minutes with updates per person, blockers, decisions and action items", and copy them into your document.

If the meeting was in person, dictate the minutes afterwards: open the document, hold Ctrl + Win (fn on a Mac) and go through it person by person. Loro types it with punctuation.

Frequently asked questions

How are team minutes different from board or general meeting minutes?

Team minutes are short, organized by person and unsigned. Board, general meeting and committee minutes follow an agenda, record votes and are signed, and sometimes the law or the bylaws require them.

Who should take the team meeting minutes?

The team lead, or a different person each week. If the meeting is a video call and you use Loro, the note writes itself and that person only reviews it.

How often should a team meet?

Most teams meet once a week, same day and time. That way each week's minutes get reviewed at the start of the next meeting.

Can I use this template in Word or Google Docs?

Yes. Copy it with the "Copy" button and paste it into Word or Google Docs. If you keep all the minutes in a shared folder, anyone who missed a meeting can catch up on their own.
