Parent-teacher meeting minutes template, free and with an example

In short
The minutes of a class parent meeting record the date, the grade and class, who attended, the topics covered, the agreements and the signatures. Copy the template below into Word or Google Docs and fill it in during the meeting. Also check whether your school uses its own format. If the meeting is online, Loro takes the notes without a bot; if it's in person, you can dictate the minutes afterwards: hold Ctrl + Win and tell what happened.
What the minutes include
- School details: name, grade and class, school year.
- Date, time and place (or the link, if it was online).
- The teacher running the meeting.
- Attendees: the list of parents or guardians, ideally with their signature.
- Agenda.
- Topics covered: class progress, attendance, behavior, activities and key dates.
- Agreements and commitments, from families and from the school.
- Other business: questions or suggestions from families.
- Next meeting.
- Signatures from the teacher and the families (and the principal, if the school asks).

CLASS PARENT MEETING MINUTES
School: Los Andes School
Grade and class: 4B School year: 2026-2027
Date: October 10, 2026 Time: 6:00 pm Place or link: Room 4B
Teacher: Ms. Ana Torres
TOPICS COVERED
1. The class is doing well in reading; we'll reinforce fractions in math.
2. Attendance this month was good; families were asked to report absences by message.
3. The museum trip is on Friday the 24th; a signed permission slip is needed.
AGREEMENTS AND COMMITMENTS
- Families check the planner every day.
- The teacher sends next week's homework every Friday.
- Permission slips for the trip are due by Tuesday the 21st.
OTHER BUSINESS
- A family suggested office hours on Thursdays: to be discussed with the principal.
NEXT MEETING
Date: at the end of the termTips
- Take attendance with signatures at the start, so the minutes have it without wasting time at the end.
- Read the agreements out loud before closing, so everyone agrees with what's written down.
- Give every commitment a date: "turn in the permission slip by Tuesday the 21st".
- Send a summary to the families who couldn't come, for example on WhatsApp.
- Keep the year's minutes in one folder: at the next meeting you can check what got done.
How Loro helps
- Online meetings: in Meet, Zoom, Teams or WhatsApp, Loro listens without adding a bot and, when you hang up, gives you the topics and agreements. You can ask it for "a summary to send to the families on WhatsApp".
- In-person meetings: afterwards, open your document, hold Ctrl + Win (fn on a Mac) and tell what happened, the way you'd tell a colleague. Loro types it with periods, commas and capitals.
- Messages to families: dictate on WhatsApp or in your email with the same shortcut.
