Church meeting minutes: template and example to copy

In short
Church meeting minutes record who attended and whether there was a quorum, the approval of the last minutes, the treasurer's report, ministry reports, motions with their votes, and what was decided. They work for a church board, council or ministry team, in any denomination. Copy the template below into Word or Google Docs and adjust it to what your church's bylaws ask for. If the meeting is a video call, Loro takes the notes without a bot; if it's in person, you can dictate the minutes afterwards with Ctrl + Win (fn on a Mac).
What goes in church meeting minutes
Every church does this its own way, and if yours has bylaws or a constitution, they come first. Your church may call its board the council, the session, the vestry, the deacon board or the parish council. These are the usual parts of the minutes:
- Meeting details: church, type of meeting (board, council or ministry team), date, time and place. Also who presides (depending on the church, the pastor, the priest or the board chair) and who takes the minutes.
- Opening. Many churches open with a prayer or a short devotional. If yours does, write down who led it. It's optional.
- Attendance and quorum: who was there, who was absent, and whether there was a quorum under your bylaws.
- Approval of the last minutes, with any corrections.
- Treasurer's report: opening balance, income, expenses and closing balance.
- Ministry reports: children, youth, music, outreach, or whatever ministries your church has.
- Motions: the wording of each one, who moved it, who seconded it, and how many voted for, against and abstained.
- Decisions.
- Action items, each with an owner and a date.
- Next meeting and closing, with a prayer if that's your custom, and the time the meeting ended.
- Signatures from whoever presided and the secretary, if your bylaws require them.

Daniel Romero, presiding Lucía Ferrer, secretaryTips for minutes that get used
- Write each motion in full: the wording as voted, who moved it, who seconded it, and the count. "Approved" isn't enough; "6 for, 1 against, 1 abstained" is.
- Make the money add up on the page. Opening balance plus income minus expenses has to equal the closing balance. If the detailed report is long, attach it and put only the totals in the minutes.
- Keep members' personal matters out. Prayer requests, health or family situations don't go in the minutes with names. A line like "A pastoral matter was discussed. The pastor is following up." is enough.
- Read each motion out loud before the vote, so the minutes say exactly what people voted on.
- Keep the approved minutes in order, in the church's minute book or a shared folder, so anyone can check what was decided and when.
How Loro helps
- Video call meetings: in Zoom, Meet, Teams or WhatsApp, click Take notes when Loro asks. It doesn't add a bot, so tell everyone at the start that you're taking notes. When you hang up you get the topics and each person's next steps. For the minutes format, type in the note's question bar "write the minutes with attendance, the treasurer's report, motions with their votes, decisions and action items".
- In-person meetings: afterwards, open the minutes, hold Ctrl + Win (fn on a Mac) and say what happened, item by item. For example, you say: "um, Pablo moved the keyboard motion, uh, Marta seconded it and it passed unanimously". Loro types: "Pablo moved the keyboard motion, Marta seconded it and it passed unanimously."
- Your church's names: add members' and ministries' names to your dictionary so they come out right.

Frequently asked questions
Does a church meeting have to open with a prayer?
That's up to your church's custom. If you open with a prayer or a devotional, write down in one line who led it; if not, the minutes start with attendance.
Who signs church meeting minutes?
Your church's bylaws or constitution say. When they require signatures, it's usually whoever presided (the pastor, the priest or the board chair) and the secretary.
What is a quorum?
The minimum number of members who must be present for the meeting to make decisions. Your bylaws set that number. In the minutes, write how many were present out of how many, for example "8 of 9".
What does it mean to second a motion?
That another member supports bringing the proposal to discussion and a vote. Many boards require a second before voting; check whether your bylaws or rules of order do.
When are church minutes approved?
Usually at the start of the next meeting: the secretary reads them, or sends them ahead, and the board approves them with or without corrections. If your bylaws say otherwise, follow them.
